How to Define BP Role Categories in SAP S4 Hana

SAP BP Role Category is the highest level of Business Partners, where business partner’s roles are defined for an organization, group, and a person.

Standard BP roles are defined in the SAP S4 Hana system, we can use those standard roles or you can create new roles by coping standard roles and modifying as per business client requirements of business partner in SAP.

In this scenario, we are going to maintain business partner roles by copying from existing business partner’s roles.

Note: Before creating of Business Partners Role, you need to define BP role category and assign this BP role category to BP Role.

Important configurations to define before creating BP roles

 

Configuration steps

You can define BP Role categories in the SAP S4 Hana system by using the following navigation methods

  • Transaction Code: SPRO
  • SAP IMG Menu Path: SAP Customizing Implementation Guide -> Cross Application Components -> SAP Business Partners -> Business Partner -> Basic Settings > Define BP Roles -> BP Role Categories.

Step 1: Enter t-code “SPRO” in the command field

Step 2: Click on “SAP Reference IMG”

Step 3: Now follow the menu path and execute “Define BP Roles”

Step 4: Under “Dialog Structure” click on BP Role Categories

Step 5: Now select the BP role Category and click on the option “Copy as” button.

Step 6: On change view “BP Role Categories” detailed selected set screen, update the following details.

  • BP Role Category: Update the new BP role category key as per client requirements
  • Title: Update the title of the BP role category
  • Description: Update the complete description of the BP role category
  • Diff.Type: Differentiation type is a combination of organizational units used internally to define which characters are used to differentiate. Choose the appropriate differentiation type for the role category as per requirements.

Possible Business Categories: It controls whether a business partner is an organization or person or group.

Click on Apply to save the details.

After defining the Business partner’s role categories, the next step is the definition of BP Role.

You can refer menu path Cross Application Components -> SAP Business Partners -> Business Partner -> Basic Settings > Define BP Roles

Step 1: From the change view, BP Roles overview screen, choose the BP Roles and click on the copy as a button.

Step 2: On change view “BP Roles” detailed of the selected set screen, maintain the following details

  • BP Role: Update the BP role key as per requirements
  • BP Title: Update the BP title as per client requirements
  • BP Description: Update the description of BP role
  • Hide: Check this field only to hide the BP role in the dropdown list when you are creating BP
  • BP Role Category: Now assign the BP role category to the BP role. The assignment of BP role category to BP role controls BP role is always to work with respective BP category.
  • Interface control: Don’t change the interface control or the system will give a dump while creating business partners.

After maintaining the required details, click on “Apply”

Step 3: Click on the Save option to save the created BP roles in the SAP Hana system.
